What this policy covers

It covers this website, 42its.co.uk; our remote support service; anyone who gets in touch with us; and our customers, whether you are an individual or a business.

The information we collect

When you get in touch

If you send us an enquiry, email us or phone us, we keep what you give us: typically your name, your email address, your phone number, the company you work for if you tell us, and whatever you tell us about the problem or the job. The enquiry forms on our Contact and Telephony pages send what you type to us by email, and it is not passed on to anyone else. To keep out automated spam, the forms check the IP address a message came from, and may hold it for about an hour to stop the same address sending too many messages. It is not kept with your message.

When you become a customer

To do the work and invoice for it we hold your contact details, your address if we visit you, details of the equipment and systems we work on, our notes of what we did, our correspondence with you, and our billing records. If you accept a quote online, we keep the name you accepted it in, when you did so, and the IP address and browser you used, as our record of the agreement. We do not take payments through this website and we do not hold your card details.

When we work on your computers and systems

Fixing computers, networks, backups and phone systems often means we can see the information stored on them: your files, emails and photos, and for a business, information about its customers and staff. We look only at what the job needs, we use it only to do the work, and we do not pass it on. Where we copy files as part of a job, such as recovering data or moving it to a new computer, we keep the copies only for that job unless you ask us to hold them. When we do this work for a business, the information on its systems remains the business’s own, and we handle it on the business’s instructions.

When we connect to your computer remotely

Our remote support service lets an engineer see your screen and work on your computer over the internet. Whenever an engineer is connected, a notice shows on your screen.

  • A one-off session: you run Quick Support, read out its code and choose Allow. Closing Quick Support ends the session.
  • Computers we look after on an ongoing basis: our support software stays installed so that we can connect when needed. Every few hours it sends us a short summary of the computer, such as its make, model and serial number, its disks and their health, its version of Windows, the name of the person signed in and the internet address it is connecting from, so that we can spot problems early.
  • Remote access to your own office computer: if we set this up for you, we hold your name, email address and sign-in details. The sign-in page uses cookies to keep you signed in; they are needed for it to work.

The service keeps a log of every connection: which engineer connected to which computer, when and for how long, and any files transferred. A session can also be recorded, as a record of the work done.

When you visit this website, and cookies

This website is a set of plain pages. It sets no cookies of its own and runs no analytics or advertising trackers. Like any website, the company that hosts it keeps technical records of each visit — the IP address the request came from, the browser used and the page asked for — which are used to keep the site running and secure, and are kept for a short time.

The one thing on this site that comes from another company is the anti-spam check on our enquiry forms. It is run by Cloudflare and only loads on the pages that carry a form, Contact and Telephony. It looks at technical information from your browser to tell a person from an automated program, and Cloudflare’s own privacy policy applies to what it collects. Because it is part of how the form works, it loads whether or not you accept the notice at the foot of the page. Your choice in that notice is remembered in your browser for a year, and you can clear it by clearing your browser’s site data.

How we use it, and why we are allowed to

The law requires us to have a reason for using your personal information. Ours are these:

  • To answer your enquiry and quote for the work. This is in our legitimate interest as a business, and is a step you have asked us to take before any contract.
  • To do the work you have asked for, including support we give remotely, and to invoice for it. This is necessary for the contract between us.
  • To keep the records the law requires us to keep, such as tax and accounting records. This is a legal obligation.
  • To keep this website, our remote support service and the computers we look after secure. This is in our legitimate interest, and in yours.
  • To tell existing customers about services like the ones they have used. This is in our legitimate interest, and you can ask us to stop at any time. We do not send marketing to people who have not dealt with us.

We do not sell your information, and we do not use it for automated decision-making.

Who we share it with

We share information only where we need to, with:

  • Companies that provide services to us, who handle it on our instructions and may not use it for their own purposes: the companies that host this website, our remote support service and our quoting system, deliver our email, store our files and keep our accounts.
  • Suppliers we deal with on your behalf, where the job needs it: for example the registry, when we register a domain name for you, or a manufacturer, when we arrange a warranty repair.
  • Our professional advisers, such as our accountant, where needed.
  • The authorities, where the law requires it.

Where it is kept

Most of your information is held in the United Kingdom and the European Economic Area. Some of the companies that provide services to us may process information outside the UK, for example in the United States. When that happens we rely on the UK government’s adequacy decisions for the country concerned, or on the standard contractual safeguards approved for UK transfers, so that your information is protected to the same standard.

How long we keep it

  • Enquiries and quotes: we keep these on file, whether or not the work went ahead, as our record of what we have quoted and so that we can pick the conversation up if you come back to us.
  • Support records, including the remote support log: we keep these on file as the history of the equipment we look after.
  • Billing and accounting records: at least six years after the end of the last job, which is how long the tax authorities require us to keep business records.
  • Website visit records: a short time, held by our hosting provider.

If you would rather we did not keep your details, ask us and we will delete them, apart from anything the law requires us to keep.

Keeping it safe

This website and our remote support service use encrypted connections. Our engineers sign in to the remote support service with a password and a code from an authenticator app, and every connection is logged. Access to the systems that hold your information is limited to the people who need it to do their jobs, and the companies we use are chosen for the security they provide. No system is perfectly secure, but we take reasonable care, and if a breach ever put your rights at risk we would tell you and the Information Commissioner as the law requires.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information, where we have no good reason to keep it;
  • ask us to limit what we do with it, or object to our using it, in certain circumstances;
  • ask for information you gave us to be passed to you or to another company in a usable form;
  • withdraw your consent, where consent is what we rely on.

To do any of these, email info@42its.co.uk. There is no charge, and we will reply within a month. We may need to check who you are first.

If you are unhappy with how we have handled your information, please tell us so that we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator: ico.org.uk, telephone 0303 123 1113, or by post to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

Children

This website is not aimed at children, and we do not knowingly collect information through it from anyone under 16. If you believe a child has given us personal information, please contact us and we will delete it.

Other websites

This website links to other sites. Those sites have their own privacy policies and we are not responsible for them.

Changes to this policy

We will update this page if what we do changes. The date at the top tells you when it was last revised.
